Privacy Policy
Washa Privacy Policy
Teleport Inc. ("we", "us" or "our") sets out below how personal information and user data are handled in the software "Washa", including the iPhone, Mac, Android and Windows apps and the web version (the "Software"). Terms used here have the same meaning as in the "Washa Software Terms of Use".
1. Basic approach
- The Software's apps record, transcribe, segment speakers and compute voice features on your device in principle.
- The apps do not send User Data such as recordings, transcripts or names to us unless you take an action to send it (including "Send to the development team" on the share screen).
- The Software contains no mechanisms for advertising, behavioral analytics or automatic crash reporting.
2. Data stored on your device
The apps store the following data on your device:
- Recording Data, transcripts, titles, dates and processing records
- The place where a recording started (only if you allow location access; a place name and an approximate position)
- The voice ledger (names, photos and voice features of registered people, and up to five audio clips of the utterances used to register them)
- Settings (appearance, text size, list order, your agreement to the Terms and similar)
- Activity logs (processing stages and failure reasons; audio, transcripts, names and titles are not written)
This data is not sent to us. The apps never sync it to a cloud service on their own. However, on Mac and Windows, if you choose a storage location inside a folder that syncs with a cloud service (such as iCloud Drive or OneDrive), it is synced by that service. It may also be included in device backups (iCloud Backup, Time Machine on Mac and similar) by the operating system. On Android it is excluded from device backup and transfer. Recordings moved to the trash are deleted after seven days. Deleting the app also deletes this data from your device.
3. When the apps communicate outside your device
The apps communicate outside your device only in the following cases:
- Downloading models for processing: when you first process a recording and at similar times, the apps download models from Hugging Face and GitHub (Android and Windows), Hugging Face (speaker separation on iPhone and Mac) and Apple (speech recognition on iPhone and Mac). Only ordinary download requests (including your IP address) are sent; no User Data is sent.
- Place names for recordings: if you allow location access, when a recording starts the apps send an approximate position once to the operating system's service (Apple on iPhone and Mac; the device's location service and Google Play services on Android) to turn it into a place name.
- Checking for a new version (Android and Windows): When the app starts, and at regular intervals while it is open (every 3 hours during the beta test, once a day in the release version), the app asks GitHub (Telepotch/washa-releases) for the latest version and downloads it if there is a newer one. GitHub receives ordinary connection information (such as your IP address), but no User Data is sent.
- When you send data yourself: when you tap export, share or export diagnostics, the data is sent to the recipient you choose. An exported Washa Document may include the recording's location. Diagnostics include the version, OS, device model, free storage, recording IDs and processing states, but not audio, transcripts, names or titles.
- When you send to the development team: only when you tap "Send to the development team" on a recording's share screen and agree to both confirmations before sending, the apps send the full audio of that recording, and its transcript, speaker turns and your corrections (with names, title, place and time removed), to our intake (Cloudflare). The audio file is sent as is, so voices and what was said cannot be removed (it may contain details such as the date added by the recording device). The confirmation screen is shown every time.
4. Data we receive through the web version
If you use the web version, we receive the following data and store it in the cloud we use (Google Cloud, Tokyo region):
- Login information (the ID, name, email address and groups received from our authentication system)
- Recording Data you send and its Processing Results (transcripts, voice features, glossaries, participant lists and sharing settings)
- Documents you register as project materials
- Information about personal API keys you issue (not the key itself, but a value for verification, the key's name and its creation time)
- A cookie that identifies people invited through a share link (30 days)
We keep this data until you delete it.
If you log in to myWasha (washa.teleport.jp, the page for beta test guidance, announcements and app downloads), we receive the following data and store it with services of Cloudflare, Inc. (Cloudflare Pages and D1). It may be stored outside Japan.
- Login information received from our authentication system (ID, name and email address), and the times of your first and most recent login
- The version of the Terms of Use and this Policy you agreed to, and when you agreed
- A cookie that keeps you logged in (14 days)
We keep this data until you ask us to delete it.
Items sent to the development team (Section 3; no login is required) are handled as follows. We receive the following data and store it encrypted with services of Cloudflare, Inc. (Cloudflare R2 and D1). It may be stored outside Japan.
- The audio you sent, and the redacted transcript, speaker turns and your corrections
- The version of the text you agreed to, when you agreed, and the two items you confirmed
- The app name, app version and OS version
- A scrambled value of the sender (your IP address turned one-way together with a value that changes daily; the IP address itself is not stored), and a one-way value of the withdrawal key
We delete them automatically at the time you chose when sending (when the beta test ends, or 1 year after sending). You can delete what you sent at any time with "Delete what I sent" in the app. If you can no longer delete it from the app (for example, you removed the app or changed devices), it is deleted automatically at the time you chose when sending. Because we cannot know who sent it, we cannot handle individual deletion requests. Figures made while improving Washa (such as accuracy rates) may remain after what you sent is deleted. We do not review what is sent.
5. When data is sent to External Services
When you use the following features, the data needed for them is sent to External Services. Its handling there is governed by each provider's privacy policy.
- AI proofreading, titles, summaries, speaker checks and re-listening (the web version and the developer tools for Mac): transcripts and project materials are sent to OpenAI. In the web version, materials may be sent to OpenAI right after you register them, to summarize them.
- Importing videos (the web version): our server fetches the video at the URL you paste from its source.
The apps (iPhone, Mac, Android and Windows) do not send User Data to External Services for AI proofreading.
6. Purposes of use
We use the data we receive only to:
- provide the features of the Software;
- manage logins and the scope of sharing;
- investigate defects and respond to your inquiries (including diagnostics you send us);
- improve transcription and speaker separation (using only recordings you sent through "Send to the development team"; only the people developing Washa at our company see them); and
- respond to use that violates the Terms.
We do not use User Data to train machine-learning models, except where you separately agree. Items sent to the development team are never used to train AI, and are not used for advertising, sale or any other purpose.
7. Provision to third parties
Except as required by law, we do not provide personal data to third parties without the person's consent. Sending data to External Services under Section 5 and using the cloud under Section 4 are done to provide features you choose or to entrust our operations. Providers of External Services and the cloud may be located outside Japan (for example, OpenAI in the United States).
8. Security measures
We take necessary and appropriate security measures for the data we receive, such as encrypting communications, separating data by user through login, and limiting who can access it.
9. Requests for disclosure, correction, deletion and similar
- You can delete data stored on your device within the apps (recordings, the voice ledger, emptying the trash).
- If you request disclosure, correction, suspension of use, deletion or similar for data we store through the web version or myWasha, we will respond in accordance with law after confirming your identity. Please contact us at the address in Section 11.
- For items sent to the development team, we cannot know who sent them and cannot confirm your identity, so we cannot handle individual requests for disclosure or deletion. Delete them with "Delete what I sent" in the app, or they are deleted automatically at the time you chose (Section 4).
10. Changes to this Policy
We may change this Policy. For significant changes, we will announce them in the Software or on our website, and the Software will ask for your agreement the first time you use it after the change. If the Japanese and English versions conflict, the Japanese version prevails.
